The reliable workflow
- Start with clean speech. Reduce room noise and make the speaker intelligible before transcription.
- Generate the first pass. Use an automatic caption tool to transcribe and time the dialogue.
- Correct the transcript. Check names, numbers, brands, technical language and ambiguous words.
- Fix segmentation. Break captions where the viewer can comfortably read them without losing the sentence.
- Style for the platform. Choose contrast, size and placement that remain readable on a phone.
- Preview without sound. If the story still makes sense, the captions are doing their job.
Burned-in captions or selectable captions?
Burned-in text is part of the video image and works consistently on social feeds. Selectable closed captions are separate text tracks the viewer can toggle and are important for accessibility on platforms that support them. Many short-form creators use burned-in visual captions for attention and still add platform captions where available.
Want the caption step automated?
Submagic’s subtitle workflow is built for creators who also want short-form editing around the captions.

Quality-control checklist
- Names and brand terms are spelled correctly.
- Numbers, dates and prices match the spoken audio.
- Line breaks do not split phrases awkwardly.
- Text is not hidden behind platform buttons or captions.
- Color contrast is readable over changing backgrounds.
- The final export was watched once with the sound off.
Tool choice
If you only need transcription and subtitle files, prioritize export formats and correction tools. If you are editing Shorts or Reels at the same time, a caption tool embedded in a broader short-form workflow may reduce handoffs.
